XYZ Corporation is one of the growing IT Company founded in 2001. We are continuously moving towards our objective and making benchmarks in this industry. To move ahead and achieve further future goals and objectives we are continuously working to increase our capacity and technology. So this time we need to upgrade our PCs system entirely. We are having 15 general working PCs and 5 PCs for servers. Total upgradation requirement for the PCs are 20 in numbers. For the general working PCs we are just seeking general upgraded hardware to make the company more competitive and capable to sustain in the long run of the business by enhancing the quality and capacity of the work. For the server PCs, we again need to upgrade in an effective manner that may help and support our backend to make a strong system and server requirements for the better running of the whole group of systems.

The whole process of installation and all shall take maximum of 24 hours to make an effective move for the organization. We cannot stop or shut down our project and work for more than that. So, we are going to commence a bid for the hardware specification and their requirement with the time of installation and other criteria.

Bid is the most effective and efficient way to opt for the most effective category of the market players and at a cheap and competitive rate. For this purpose we are going for the bid and it is open for all the market players which are meeting all the terms and conditions as per the company commencement while the opening of the bid.

The company is looking for those competitive bidders which can provide their support to the organization and this will be continued for the long term relationship and commitment. To make an effective and long term relationship we are devoted to the suppliers and willing to make a long term relationship with the successful bidders and service providers who are able to meet all the required specification and the conditions as per the company norms.

We are having some future goals and objective which are yet to be achieved and acquired. So, our management team requests you all bidders to seek a long term relationship with us for the better and optimal output and benefits for both the parties.

This bid is very much necessary for us and have a great aspects for the future growth and goal achievements based on these upgradation of the systems. That will further support us to make the new benchmarks in the industry and make us more competitive and sustainable. Competitive is becoming tougher at each point of time, the change and upgradation of systems is becoming a need of the organization. For other aspects like the safety issues, again there is a great requirement of the system upgradation.

To achieve these aspects and requirement, we are going to offer a bid for all the market players who all have prior experience in similar field and those who all are capable of meeting all these requirements are most welcome. For all the hardware parts we are looking for the genuine and competitive company made products with their service providers for the installation-

Chipset: Intel X 79 series or better Motherboard, which are most updated and effective for our system

Memory: 3GB 800 MHz, 1PCI Express X 1 and 1 PCI Express x 16

Hard Disk Drive: 320 GB 7200 rmp Serial ATA HDD for gerenral PCs and for servers 800

GB required with the same or upgraded specifications

Monitor: 47 cms (18.5 inch) LED Digital colour Monitor for the better visuals

Graphic Cards- High definition to support latest media files

USB-Keyboard

USB-Mouse

Annexure A- For Technical Bid

1. VAT No: The bidder shall include their VAT and other registration and certification numbers with the bid.
2. General Specification of the hardware parts: The general specifications of the hardware parts shall be included and mentioned clearly with the bid. This will make the bid more clear and specified.
3. Terms and period of the delivery and the time for the installation: All the terms and conditions shall be disclosed clearly for the better and transparent bid.
4. Warranty/guarantee offered if any: If the company is providing any kind of guarantee/warrantee on their products and services, they should include this clearly with the bid.
5. Company’s performance for the last 5 years that shall meet the similar requirements: The bidder shall have a good performance and market base and have prior experience in the past related to the similar kind of specification. This will add value to their bid and make a positive and credible effect and that will help a-lot in considering their bid for the project.
6. Certification and authorization for the hardware supply and selling with their registration: The bidder shall have all the authorization for the supply and selling of the material. They should include the self attested copies of the certificates and authorizations details.

Terms and Conditions:

1. Sealed tenders must reach to the office by or before the time provided for the bid.
2. The bidders will have to bear all the transportation costs incurred in the supply, packaging and all.
3. The bidders shall provide their VAT registration number with self attested copies with the bid.
4. Bid submitted shall not be withdrawn before opening of the bid.
5. The bid shall be submitted in two prior categories: Technical bid and Financial Bid.
6. The bid price should be inclusive of all the taxes
7. They shall also include a copy of catalogue for the hardware parts with the bid.
8. All the requirement and items shall be supplied within 10- 15 days from the date of issue of the order.
9. All the installation shall take maximum of 24 hours for the successfully installation of the whole systems.
10. EMD shall be deposited for each bid as per the company norms.
11. The company keeps the authority to cancel any bid at any point of time without any reason or notification.

The terms and conditions are very much required to maintain and pass out for each and every bidder. This will help in consideration and valuation of their bid for the further evaluation and the successful acceptance of these terms and condition may result in their successful acceptance of the bid.
