Introduction

It is the practice that points out the initiating and planning along with executing and controlling the work that has been allocated to a team for measuring their overall performance. Achieving certain goals is to be considered and is required to be performed by the project manager and their associated tem within the allocated period of time. This particular organisation has been founded for providing certain skills to the local people by applying different types of software which would assist in their overall process of training. The main mission statement of the company is to provide technological education to the local people within the available constraints. The target population of the organisation mainly consist of the people who are aged from 18 to 30 as they requires the training which are to be provided within the allocated period of time.

Needs / Problem

The project management for the organisation is requires as the organisation is in requirement of an information system which is required to be developed as well as enhanced. The information system is advised for a hybrid system which would support the use of every social media and would reach faster to the younger people (Conforto et al. 2016). The project that has been advised to the organisation includes the overall length of the project on which it would be completed within the allocated time period. The problem that has been identified in the organisation has been addressed with the ideas of the organisation. The impact of the problem for the target population is that most of the people from that age group are more focused on the new technology which would be included in their new project. The surrounding population might get influenced by the newly implemented project which would attract most of the local people towards the organisation and enhanced their training for the new technologies. The software management for the new project is required for overall development and that would be influenced by the targeted population.

Goals / Objectives

The goal or objectives of the organisation is to develop the information system that would assist the organisation for offering interactive skills along with enhancing the preparation of the new software. It mainly provides a lot of career options which would provide the study information for integrating the needs of the software along with its development (de Carvalho, Patah and de Souza Bido 2015). The main goal of the study is to apply the project management technique and develop the information system for which a software is also required to be developed within the constraints. It includes different stages of the project that points out the certain requirement such as analysis, design and testing for the software. The deliverable of the project is to points out the methodology of the project which mainly points out the waterfall methodology. Different phase of the project are also included in the study which points out the project initiation and project design phase along with other different phases. Software development is a critical phase which are required to be carried out with certain perspective and those are to be included with the overall process of project management (Kivilä, Martinsuo and Vuorinen 2017). The organisation provides benefits to the common people by providing them knowledge and ideas about the software which is required to be developed within the provided time period. Moreover, the appointed project manager would look after the project and the project manager is also responsible for measuring the constraints and the project is to be completed within the allocated period of time.

Procedures / scope of work

The overall procedures of the work which is to be completed by the project manager within the provided time includes the analysis of the overall requirement of the project. At the beginning, raw material would be required and labour is also required for arranging the product along with its development. The requirement of the technology is also highlighted in the study which points out the effective design that are to be applied with the project (Svejvig and Andersen 2015). The development of the software is mainly followed by the process of hiring the designer and hiring the software developer along with hiring of tester for the software. Testing and maintenance is also an important aspect in the procedure of the project management which are to be included within the overall project timeline. In the process of testing, testing for bugs and fixing the bugs in the overall software is also a part of the maintenance which are to be maintained after a fixed time interval. Hiring of tester is also associated with the process and this has to be carried out for better maintenance of the project in upcoming years.

The time table of the project mainly points out the Gantt chart that generally highlights the overall schedule of the project and those have to be pointed towards the relationship between the activity and current status of the schedule. The figure that has been mentioned in the below part points out the effective chart for overall procedure of the project management (Todorović et al. 2015). The organisation is required to develop the software which would enhance their overall process of educating the people. Each of the task is to be completed after the previous task completes along with highlighting the time that is required to be completed within the allocated time.

The above figure points out the Gantt chart of the project that is required to be carried out within the allocated time period. The pointing out of the time scale also highlights the time required by the project manager within the allocated resources and time constraints. All of the phase is included with the process of maintenance of the software and those are to be associated with the project (Too and Weaver 2014). Fixing all kinds of bugs is also associated with the process of maintenances which is clearly shown in the timeline of the project. It also points out the critical path that points out the directional path for the project to be carried on.

Budget

The budget is the financial statement which mainly points out the estimated cost that would be incurred in the upcoming years or for the project that has been scheduled as per the project manager. The budget also points out the estimated amount of cost that is required to be allocated by the project manager for managing the project for which the manager is being appointed (Hornstein 2015). These are the amount that would be incurred on each phase and describes the work which are to be included within the overall phases of the project. The following table points out the proposed cost or the budget which is required to be incurred within the overall process of the project.

The above table points out the budget for the project which shows the total amount of cost which would be incurred within the completion of the project. These funds are mainly collected from the organisation and their certain amount of profit for several years. It can be clearly seen that the cost of raw materials and other costs have been mentioned with the allocated time period. It also points out the overall strength and weakness of the project as those are based on the costs that would be incurred.

Key stakeholders / personnel

The key stakeholders of the project are the government of the country, project manager, employees and other staffs of the company. These are the people that puts impact on the target audience along with the clients that have provided the information for developing the software along with providing basic career information to the common people (Lientz and Rea 2016). A project management team is required for the development of the software which points out the effective management of the development along with providing the better options to the users. Government plays an important role on the project management as the rates and tax is to be imposed on the items that has been purchased. Different stakeholders of the company are directly associated with different phases of the project and these are to be recorded in the statement of project management.

Risk analysis / project constraints

The project constraints are associated with the risk which might affect the overall process of project management. The constraints of the project mainly consist of schedule of the project, cost of the project and scope of the project which would be associated with the overall process (Ramazani and Jergeas 2015). The deliverables and the goals are to be defined for the overall boundaries of the project and those are to be included for mitigating any kind of the risk that are associated with the overall process.

Project implementation / Finalisation steps

Project implementation is the phase where the plans and estimates are visible to the project manager. After evaluating every step, the project manager finalises the overall project and points out the execution within the provided constraints and technical implementation is also another part (Marcelino-Sádaba et al. 2014). After the last phase of the project, the project is to be implemented by deciding and applying the funds which points out the financial resources of the project. Moreover, this particular project management points out the overall development of the information system and the software which help people in getting better service. The strategic plan is also to be implemented in the overall implementation process as it would help the project to perform in a successful way.

Research methodology

The methodology that is associated with the research mainly includes the waterfall methodology which shows the overall breakdown of the project activities into different phase. Each of the specialisation task is to be associated with deliverables and consist of certain design for better plan for implementation of the organisation (Papke-Shields and Boyer-Wright 2017). This particular methodology includes the stages and steps that would be beneficial for the project.

Conclusion

From the above study, it can be concluded that project management is beneficial for an organisation as it points out the process of planning and executing a certain project within a specified time limit. The provided constraints is to be used for achieving the goals and targets which are to be achieved for meeting certain specific criteria. In this study, an educational institutions has been chosen which is to be collaborated with the overall local authority for enhancing their revenue stream. The overview of project implementation is mainly done by the appointed project manager who is also responsible for carefully carrying out the overall project for the company.
