Introduction
The following paper includes the discussion about the organizing of an event which is aimed towards promoting a fund raising activity or charity related to child care services. The event that has been organized is a polo day event, targeting the overall community group for raising large amount of funds by the way of selling the entry tickets for the event. Funds are also raised by the way of sponsorships which are used for promoting the event in a large and expanded manner. The research phase, planning, implementation phase has been explained in the paper and the activities associated with event. The overall evaluation of the event has also being done in order to evaluate the success and the extensive use of leadership qualities.
Research Phase
- The fund raising event or activity that has been organized is for the purpose of raising funds for Aussie Kidz Charity. The event which is to be organized is a polo day and fund will be raised by the way of charging the entry fees and selling food supplements. The fund will also be raised by the way of selling the sponsorships to several organizations. The audience will include all the local community of the city. This activity has been selected in order to help families of children who are under the age of 18 years and whom are diagnosed with disability (Aussie Kidz Charity, 2012).
- The charity chosen for the purpose of the event is Aussie Kidz Charity which is dedicated towards assisting the families who have some children under the age of 18 and are suffering from some kind of disability. (Aussie Kidz Charity, 2012). The Aussie Kidz Charity has been started in the year 2000, by a group of individuals for the purpose of providing help to the children having some physical disability. The organization collects donation for using it for the children with a minimum overhead costs and is managed by the directors and friends and provide the maximum benefit to the needy children. Since initiation the charity has raised over $ 750000 and also has provided with the mobility aids to children, specialized clothing’s, walking frames and several other kinds of assistances to these special needy children (Aussie Kidz Charity, 2012).
- This charity has been selected because thousands of queries were filed with the organization each year for the generous contribution towards the benefit of the special needy children (Ruscoe 2006). This charity has also been selected because it has been into work since 2000 and had collected since it started an amount of $ 750000 for meeting the overheads and running costs, and also has increased a high awareness among the people about the certain needs to the needy children suffering from some kind of physical disability . The rationale behind the selection is that the funds raised reaches for the support and services and programs to the local community which includes providing free support and crisis support facilities to families and communities for managing the overhead and day to day needs of the children’s. The charity with the help of community and generous donors provides grants for certain qualifying individuals for certain walking frames, special clothing, and specialized computer related equipments and so on. (Brodie-Hall and Mottram 2005).
The charity organizes several events in order to gather funds for the purpose of helping the disabled and disadvantaged kids. (Sugden 2011).
- The supporting material used by the charity includes the use of broachers, fliers, events like the organization of the polo day, sports events and so on for the purpose of raising funds for the noble cause (Aussie Kidz Charity, 2012).
Planning Phase
- The first step in planning for the fund raising event is to seek the aims and goals of the event. The fund raising event main aim and goals includes the organizing of an event that can provide a large amount of fund for the charity and also create awareness among the people about the need of the disabled children and their day to day requirements (Aussie Kidz Charity: Polo Day, 2012). The aims and goals can also be listed as:
- To raise maximum amount of fund for the charity.
- To gather large number of public in the event.
- To bring in large sponsors to gather and make popular the event.
- The aim is also to create awareness among the people of the community about the need of the disabled and disadvantage children and the problems they face during their day to day life.
- Looking at the plan of the fund raising activity it is vital to address the roles and responsibilities to the people or volunteers those are involved in the fund raising activity. Different people would be handling different roles. Groups will be divided to mange different tasks and activities. Three groups will be divided; the first group will be handling the marketing of the event in order to make it popular, the second group will be responsible for the management of the overall functioning of the event (Koutsoukis 2006). Third group will be responsible for the management of the activities associated with the funds, i.e. they will be responsible for collecting funds from the commuters and people visiting the event and also to negotiate the raising of funds from the sponsors which the marketing group will have arranged for (Sugden 2011).
- As the event is related to organization of a poly day, several risk assessment activities needs to be involved. The health and safety considerations needs to be kept in mind during the event related to the health and safety of the participants and the commuters, and the compliance must be followed related to the event organization by the government. The organizers are always held liable for the risk assessment activity related to the event (Sugden 2011).

This has been made in order to provide the community with the details about the event and make the event successful and gather large amount of funds. The number of commuters and visitors at the event will be the main source of raising the funds (Bourke 2004).
Implementation Phase
The implementation phase is the vital phase of the overall project, during this phase several tasks needed to be handled and managed. This event has been done for promoting the child care services, so the event is focused towards it. An event i.e. the polo day has been organized in order to gather funds for the charity named Aussie Kidz Charity. The evidence can be presented by the way of pictures showing the event, and the players showing their performances (Ruscoe 2006).
Evaluation Phase
- There is an effective use of the leadership styles during each phase of the overall event and activity. During the research phase the leadership skills required with respect to the initiative taken to implement or organize the event. During this phase the leadership skills used is the implementation of the proper listening and attention paying with regard to minutes of the event. During the planning phase the leadership skills applied includes the application of assertiveness and openness to the ideas provided by the staff and helpers (Michel and Mahon 2002). During the planning phase the need for the resources, the need for equipment, knowledge have been identified and decision were taken based on the proper evaluation of the activities under the action. The leadership skills used in the implementation phase includes the use of the creativity, openness to ideas, and use of magnanimity all these leadership skills have helped for the effective organizing of the event (Ruscoe 2006).
- The direction to the team members is provided by the use of the oral and written communication. The direction by the use of oral and written communication are highly effective as oral provide a direct interaction with the employees while the written communication provide a specific guide line to the worker and make them perform what is exactly required.
- The participative leadership style has been used for the purpose of coordinating the fund raising activity. As per this leadership style the leader allows the followers to provide their participation in the activities of the task involved (Bourke 2004).
- The factor which has highly impacted the fund raising activity is the inactive participation of the team members and they were required to be forced to work on their own. Due to this the leadership style which was adopted needed to be changed.
- Reviewing the practices and processes adopted it can be said that there is an appropriate application of the leadership styles which has led to the effective functioning of the fund raising event and also has helped in accumulation of large amount of funds (Ruscoe 2006).
- The aims and objectives which has been set out in the beginning of the event has been achieved in an appropriate manner as large number of commuters and people accumulated at the event leading to a large amount collection for the charity.
- The staff member participation was active in terms of their performance and returns. The participation can be defined looking at the return from the overall event. They performed their roles and responsibilities in an appropriate manner leading to the achievement of aims in an effective and efficient manner.
- Some employees were encountered conflicting during the course of work with respect to their roles and responsibilities, this has been handled by appropriately defining the roles of each staff and this is how the overall conflict has been resolved.
- During each phase the overall staff was guided towards the plan of actions and the way their tasks need to be performed (Bourke 2004). The staff was given feedback with respect to the activities performed also the tasks they need to do along with their tasks.
- The overall tasks were managed well with the planning of the tasks in advance and any deviation in the plan was controlled and tasks were performed as prepared.
- Next time the research and implementation phase needs to be improved as there are several tasks and activities which are not appropriately planned and implemented leading to deviations in the plan and action.
- Some of the activities that can be engaged in order to further develop the leadership skills is to participate is several workshops and also into professional development training modules in order to effectively manage such events (Ruscoe 2006).
Development of a Community Group
- In this part a community group is developed with respect the child care which is motivated with the success of the event above. The community group will be developed looking the factors which needs attention of the community at large which is supported by the Aussie Kidz Charity.
From the SWOT analysis of the community group it has been evaluated that, the main strength of the groups is that it has a good link with several charities which will help the community group to attain their objective and aims. The weakness of the community group is that, it is a new group and does not have high awareness among the general public and people are also not aware of the group aims and objectives related to the social care of the children (Michel and Mahon 2002).
The opportunities that are available to the community group is that the group has the advantage of the support of the Red Nose group which is highly famous and can promote itself by linking up with the charity. There are other groups with whom the community group can also link. The threat to the community group is that the group is new and does not have good and experienced employees and volunteers who can manage the tasks of the group and can organize big events (Michel and Mahon 2002).
The short term goal of the community group is to appropriately manage the group and help the community at large with respect to the child care. The long term goal of the community group is to create its awareness among people and raise funds to help and provide care to large number of children across the globe.
- The evaluation tool or the performance of the community group can be managed with the measurement of the quality of the activities performed by the group and also by the proper evaluation of the tasks performed by the group.
- After the performance of evaluation tool the information gathered can be measured with the standards set by the organization and also by the effective evaluation of the activities of the group. The deviations in between the standard and the actual performance can be controlled by the appropriate application of control measures and taking precautionary steps (Barnum 2007).
