1.0 Project Definition

This project intends to relocate the office of Smith & Co. from its current location to a CBD. The office relocation will take place within 148 days and the new office will have all new interior. The project intends to have a meeting with the employees about the location so that they agree with the new location and establish proper communication within the stakeholders and the employees.

2.0 Background

Smith & Co. need to relocate their office on the behalf of notice given by Environmental Protection Authority. They need to demolish the office as because the land had become toxic. The company needs to relocate their business to an alternative site so that they can operate their business. It is stated that the project will be carried out with proper consultation as well as proper collaboration with the office staff members. This project intends to relocate the office with proper design and layout with communal space that can have positive interaction with the staffs. This project includes high performing as well flexible workforce along with digital engagement.

3.0 Goals, objectives, and outcomes of the project

The goal of this project is to relocate the office to a new place in CBD as per the order given by the Environmental Protection Authority. The goal of the project is also to have collaboration as well as consultation with the office staff members to avoid undesirable workplace and further cultural issues that might affect the productivity of the company.

1.0 Purpose

Project governance plan provides primary deliverable process that is produced as part of the governance plan in the process of project management. This plan specifies and approves the actionable plan that helps to specify as well as approve the actionable procedures for managing as well as administrating the project.

Functional authorities in an organization states the group of authorities includes the human resources, information technology people, managers associated with project.

Project Authorities includes project coordinators, schedulers, plan administrators, and business analysts.

The IT governance and the project governance has focus on the business value from the IT infrastructure that is invested through business alignment. There is a need to manage structure related risks that is consistent and that fits in the agenda. The above diagram shows the IT Governance framework that is being carried out in the relocation project.

Project Board membership: Has the responsibility to manage the project completion and satisfy the employees working for the company. He wants more benefit from the project.

Steering Committees: Has the responsibility to advice other group members. Ensures proper delivery of the project and achieve the project outcomes.

Executive Boards: They have the oversight duties that is they are responsible for daily implementation of the board policies and maintain good practices in the governance.

Advisory groups: Bring unique knowledge in the project governance and skills for the board members.

Sponsors: They provide fund for the project and if budget for the project changes, sponsors are to be informed first.

Project managers: They are responsible t manage the project.

The decision making process that is being used in this project is voting on the decision and deciding according to the majority votes.

PART 3 – Monitor project schedule

For monitoring project schedules, the method that is has been used for this project is critical path method and network diagram. With the critical path method and the network diagram, the project can be controlled and managed.

The baseline of the project can be managed by including task dependencies and assigning resources and cost for the projects. The project schedule are adjusted and before tracking the project activities, the baseline plan is to be created.

Baseline states the starting point of the project and in baseline report the results that are to be obtained are to be included in the project for determine the baseline parameters. The scope statement is included in the project baseline on the basis of three constraints, scope, time as well as cost for the project.

The quality control approach that has been used in this project is Just in Time approach.

The standard that has been followed in this project satisfies the requirement of the client and it ensures that the best quality things will be bought from the suppliers to complete this project.

The quality auditing processes that are included in this project is process audit.

For controlling quality, inspection of the products that are bought from the suppliers were done and expert technical review report were established.
