- Description of the Project
My current project is to open a new coffee shop within the city area. The Coffee Café is seeking for a startup funding amounting to twenty thousand dollars to purchase furniture, fixtures and equipments. The hotel is to be owned by me and Nadia. Nadia has a four year experience in restaurant business, with one year in management. The cafe is a new company with me and Nadia as the owners. I will be operating 65 percent of the business while Nadia takes the other 35 percent. I will carry out this project by creating an accurate project scope; at the same time dedicate my time working on team dynamics and technical characteristic of the project, and carry out the project from set up to the end, ensuring that the project meets the needs of the customers.
The cafe will serve breakfast, lunch and evening coffee. We will specialize in offering quality fresh ground coffee. The meals we will be delivering are homemade, from scratch recipe. Other drinks will include juice, teas, sodas and a variety of other specialty drinks. The menu will feature black and white coffee with different varieties of makes and quality. The business will be operating from Monday to Saturday. The lunch menu will feature sandwiches, soups, and salad. We will also have some French lunch specialties. On Saturdays, we include a large brunch menu.
Leadership will indeed be the main focus of the business. Through proper leadership guidance, the goals and objectives of the company will be achieved hence growing the company to new heights. As the company grows and becomes famous, then we would realize that the business plan executed is successful. In the beginning of the project, we endeavor to keep the project structure as unsophisticated and original as possible. This means that the project will have only three departments: the management, operations and financial departments. This will be done through brainstorming ideas and deciding the direction to be followed in order to offer satisfactory service to customers and achieve success. We will apply the matrix structure in the business project, which will give us the opportunity to prioritize different tasks in order to complete them within the required timeframe. The project team needs to organize their functioning structure in order to complete the tasks required. We selected a small group of talented individuals to be part of the team. The members are responsible in representing the company and running the services for daily operation of the business. With a strong team, communication among members will ensure that the business runs smoothly through proper decision making. The members understand their job purpose, and know what they can do to reach their topmost potential to make the service delivery exceptional and work efficiently. If the customers are satisfied, the company gets profits, and employees will be rewarded for their hard work. The team is dedicated to hard work, sacrifice, service optimization and consistency as the strength to ensure optimal performance and satisfactory customer experience. To open a coffee cafe that will operate within the city area. The main focus of the business will be to provide high quality coffee, breakfast, and lunch at affordable prices. It will operate in an 1800 square foot commercial building which will be a walking distance from an outdoor shopping mall located nearby. The start cost fund is twenty thousand dollars of which thirty percent of the amount is available. A local bank has agreed to provide the remaining amount at fifteen percent interest rate (Globerson, 1994). The space is partitioned, but it is not furnished. The monthly rent is twenty five hundred dollars while other costs such as electricity, water, utilities will cost two thousand dollars per month. With the funds that are available, it will transform the space into a comfortable coffee cafe where every person would want to hang out.
- Work breakdown structure
In order to start up a coffee shop, a planned as well as well executed work breakdown structure shall be made. The planning as well as execution of the various organizational segments shall be assigned to the specific organizational structure. The slicing of the various organizational segments is known as Work Breakdown Structure (WBS). The main objective of the WBS is to sub divide the various activities which would help to make the entire project a huge success. The first level of the Work Based Structure (WBS) takes into consideration the choice of a geographical location where in the coffee shop would be located. The second level of Work Based Structure (WBS) while opening a coffee shop which shall be kept in mind refers to the description of the attributes included within the shop (Tevfik, 1996). The WBS must fit in the organizational structure or culture within which the project is undertaken. The step included within the work based structure (WBS) refers to specification of the need, design of the product offered & the process designed. The specification of the needs might change with passing time. Therefore, the organizational needs would be included within the design stage. While opening a coffee shop the activities shall be divided into three parts such as facilities provided, food served & operations held (Rad & Cioffi, 2000). The sub headings for the same would be installation of the building or a shop, purchase of the various equipments such as furniture, cutlery, paintings, designing of the menu, specification of the need, advertising, logistics, labor preparation & start up cost (Turner, 1999). One of the main activities to be kept in mind refers to the product design; the designing of the product can be sub-divided under two heads i.e. designing of the menu & service menu. While designing the menu card, the following shall be taken into consideration i.e. the coffee shop would serve cold or hot dishes, warm or cold mock tails, dairy or non dairy products. The work based structure shall be broken down into smaller packages.
Work based structures consisting of many activities will complicate the management process of the project i.e. start up of the coffee shop. It must be kept in mind that, less number of activities within the work based structure will lead to poor communication & poor coordination amongst the various important activities (Kerzner, 2009). Within the work based structure, the activities shall be included in such a manner which would create high levels of relationship between the same. Within a work based structures, there are various activities which are interrelated or interconnected to one another. Hence, the activities are preceded by the other activities which help in the creation of an in depth Gantt chart.

In order to manage the project i.e. starting of the coffee shop, the following people would be included to make the project a success. The people involved are as under:
The team to carry out the project i.e. starting the coffee shop will consist of six members. The team members would be Chief Financial Officer (CFO), Chief Operating Officer (COO), Chief Executive Officer (CEO), Risk Managers and Team Members.
Þ Project manager or Chief Executive Officer (CEO) – Genevieve: The role & responsibility covered by the CEO of the project i.e. Genevieve would be to act as a concerned person when the project manager is unavailable. The responsibilities covered as follows:
- Maintaining coordination amongst the activities mentioned above in the WBS section
- Guide the people or the team members involved in the project
- To produce well coordinated & all the documents for the project
- Proper communication strategies
- Judge the entire project on the basis of the various parameters such as cost, quality, assessment of risks, etc
- To have a well coordinated marketing strategy
- An in depth analysis of the risk assessment strategies
Þ Chief Financial Officer (CFO) – Dorothy: Dorothy would be made responsible to manage the issues relating to finance. The responsibilities attached along the same are as follows:
- Proper budgeting as well as development of the business plan based upon the various financial statements such as cash flow, balance sheet, sheet income & expenditure, etc
- Pay all the expenses on behalf of the organization or the members of staff
- To confirm with the financial investors regarding the ownership, banks or investment firms, etc
Þ Chief Operation Officer (COO) – Nadia: The COO would be required to accomplish the following roles & responsibilities as mentioned below. They are as under:
- Prioritizing the employees, customer & organizations requirements
- Driving the performance measures for the operations (Gray, 2011)
- Monitoring the staff people, levels of motivation, Knowledge Skills Attributes (KSA’s) so as to fulfill the requirements of the enterprise
- To develop the vision & mission for the project as well as recognize the pre determined goals of the enterprise
Þ Risk Manager: The risk manager would be responsible to take up the following roles mentioned below. Some of the roles & responsibilities have been discussed as follows:
- To have better risk management documentation
- To have solutions for different types of risk which might come in the process of starting a coffee shop
Þ Team Members (Design and Construction): The design & construction team within the project i.e. starting a coffee shop will take into consideration the following roles and responsibilities such as:
- Installation as well as procurement of the various equipments such as couches, furniture (tables, chairs), tube lights, lamps, up to date cutlery, crockery, grinder, espresso coffee machine, etc.
- Construction of the shop with best of ambience, renovation of the facilities such as lighting, etc.

Milestones:
Þ The permit to operate should be acquired by 1st of January 2013.
Þ This will be followed with painting the space to the specified colors which should take a week.
Þ Place tenders for supply of the required equipments, furniture and fixtures and review the tenders to pick the best within two weeks. The furniture and the other equipments should be delivered by 20th January
Þ Place an advertisement on the jobseekers website and interview the qualified candidates, which will be done by Nadia since she has worked in the hotel industry for four years. This will be complete by 30th January.
