Introduction

The current working environment of the Zouki Group of company is manual. All the operations related to the documentation are carried out manually which increases complexities in finding relevant information regarding different departments of the restaurant handling program. It is the big restaurant having capacity of 350 seating arrangement. Owner of the company wants the complete solution which provides flexibility in managing operations related to taking online orders from the global and local customers, and database related to the inventory for rostering, kitchen, coffee, and deserts item. It helps in keeping monitoring of the information related to the inventory flow so that demand and supply of the raw material can be managed without wasting it. The purpose of this project is to develop an operational working program for the online Zouki restaurant.

Project OwnerIt is the responsibility of the project owner to finalize the proposal for the development of the online website for handling operations of Zouki restaurant automatically without human intervention. Requirement specification plan is created by taking assistance from the other project stakeholders so that final outcome of the process undertaken should be capable of satisfying the need and expectations of the stakeholders (Anderson, 2015).
Project SponsorIt is the responsibility of the project sponsor to arrange required funds for the project so that project can be completed successfully without any complexities of underflow of budget (Badewi, 2015).
Project ManagerIt is the responsibility of the project manager to develop a project charter for the approval of the project. It is required to develop project schedule by clearly specifying the requirement in the process by allocating required resources, time and cost. Division of responsibilities should be done by him so that chaotic environment at workplace can be kept under control (Bogason, and Dahl, 2015).
Financial ManagerIt is the responsibility of the financial manager to identify the cost required to complete the given activities and develop accurate cost estimation plan so that project can be completed under approved budget and no complicacies in the completion of the project arises due to overrunning of the cost (Carcano, and et.al., 2016)
Risk ManagerAssessment of the risks during the initial stages of the project helps in reducing the complexities associated with the project and completes the project schedule without any delay. Determining the risks severity, likelihood, and probability helps in developing effective proactive risks management strategies so that complexities can be minimized and results in smooth functioning of the project (Cousillas, 2010)
Software designerIt is the responsibility of the software designer to design the software which is capable of managing all the manual operations of the Zouki restaurant through the online portal such as keeping details of inventory related to kitchen, seating arrangement, online order booking, payroll of the workers, and others.
System analystIt is the responsibility of the system analyst to check the consistency of the project in delivering the required outcome as expected. Corrective action plan should be designed for resolving the gaps and issues exist in the software design so that expectation of the stakeholders can be satisfied (Damoah, 2015).
TesterIt is the responsibility of the tester to design the test plan so that verification and validation of the project outcome can be tested and identify the percentage of satisfying the user requirement.
CoderDesigning of the online website can be set operational by developing programming code of the project. It is the responsibility of the coder to develop the program code to make the e-commerce website functional and operational to handle functions and operations of the Zouki restaurant.
ConsultantIt is the responsibility of the consultant to provide innovative ideas and opinion so that operational efficiency of the Zouki restaurant can be improved.

Proposed Strategic Alignment

Designing of the portfolio strategic plan:

High level strategies are developed for taking effective decision so that strategic plan should be aligned with the organization goal and mission. It helps in emphasising the component level design, work breakdown structure, and priority setting (Hamad, 2018).

Designing of the project charter:

Project charter is created for specifying the project scope, risk assessment, quality plan, constraints, and stakeholder responsibilities. The charter is designing for specifying the completion of the project schedule within the given deadline of project start and finish date (Gupta, 2019).

Designing of project roadmap:

Roadmap of the project is created for defining the project schedule so that strategic plan can be developed. The emphasis is given on identifying the interdependency of the processes, analysing cost benefit, and setting priority with the process activities.  

Designing of the project management plan:

Project management plan is designed for showing the interdependency of the project activities so that it can be completed within the allocated time and cost and finishes the project within the required time without any project delay (Hamid, Raza, and Naqvi, 2013).

Defining portfolio:

Portfolio of the organization structure is created so that strategic goal and objectives of the project can be achieved. Portfolio plans are developed for managing the integration of organization structure and team management. Organization structure is developed of the people so that effective reporting system can be optimized for transfer of information and data.

Optimizing portfolio

Reviewing of the strategic goal according to the expectation of the project stakeholders helps in optimizing the working schedule of the team members. It is required to develop project schedule by clearly specifying the requirement in the process by allocating required resources, time and cost.

Develop Portfolio performance management plan: Key performance indicators are used for measuring the performance of the stakeholders according to the portfolio of the stakeholders.

Managing supply and demand: It is required to manage the supply and demand of resources so that project can be completed within the given timeline and cost (Haron, and et.al., 2013).

Managing Portfolio Value: It is required to optimize the value of the portfolio by accessing the end result of the project.

It has been seen that strategic alignment depends on five factors which are classified as people, strategy, structure, processes, and rewards. Organization structure is developed of the people so that effective reporting system can be optimized for transfer of information and data. Information is collected from different sources so that processes can be effectively completed (Haughey, 2014). Rewards are provided for motivating the people who helps in increasing the throughput of the resources. The diagram below shows the strategic alignment of resources and processes:

Issues 

Current system functioning depends on the manual working environment. There is a high rate of risks of human error occurrence which creates chaotic environment at work place. It is difficult to find out required information from the paperwork (Hornstein, 2015). It is difficult to keep information secure in the paper files because loss of paper and occurrence of fire can result in the information loss.

Problems

There are problems exist in the manual working environment of the organization. It is difficult to analyse the number of order booked in the restaurant. It affects the return on investment and profitability earned by the organization (Itegi, 2015). There are challenges in providing the payroll to the employees by evaluating the manual attendance.

Proposed requirement elicitation methodology

Data is collected from the online and offline sources so that effective online portal can be developed for resolving the issues and problems which exist with the manual working environment at Zouki restaurant. Requirement elicitation methodologies which are used for collecting the data are explained below:

  • Brainstorming: Brainstorming means collecting relevant information for identifying the problems and issues which exist with the undertaken project. It is required to define the project problems and issues so that effective project Plan can be developed. It is found that there is a high rate of risks of human error occurrence which creates chaotic environment at work place (Mansfield Community, 2013).
  • Document analysis: Historical analysis of the documents related to the project helps in identifying the time and cost required to complete the given project activities. It helps in minimizing the risks of project failure in completing the project within the projected time and cost.
  • Focused group: Focused group is arranged for finding out the flaws and gaps in the current working manual system. It emphasis on advantages of online portal developed for the Zouki restaurant.
  • Interface analysis: It is required to analyse the interface developed for the Zouki restaurant so that it provides facilities to the users for easy booking of orders, payroll, attendance of the employees, and others. New system helps in keeping monitoring of the information related to the inventory flow so that demand and supply of the raw material can be managed without wasting it
  • Interviews: Interviews are arranged with the top executives of the Zouki restaurant so that relevant information about the final delivery and outcome of the project can be measured.
  • Observation: Observing the functioning and operations of the ecommerce website helps in optimizing the automatic operations of the Zouki restaurant.
  • Requirement workshops: Iterations at regular interval of time is arranged with the stakeholders so that requirements can be easily evaluated so that level of satisfaction of the end users can be optimised.
  • Questionnaire: Questionnaire helps in identifying the perception and opinions of the different stakeholders so that required information can be taken about the advantage of designing e-commerce website for increasing benefit of the enterprise.

Proposed change management solution

Change management plan is designed by reviewing the requirement and processes used for completing the project. It is required to focus on the execution plan so that corrective action plan can be developed for improving the performance of the project.

From the investigation, it has been seen that there is a problem in managing manual operation so it is required to design the online management system which helps in accelerating the order management processes by systematic handling of inventory required for managing the working of kitchen, coffee, deserts, and others. New system helps in keeping monitoring of the information related to the inventory flow so that demand and supply of the raw material can be managed without wasting it (Monnappa, 2017). Key performance indicators are used for measuring the performance of the stakeholders according to the portfolio of the stakeholders.

Conclusions and recommendations

It is concluded that online Zouki restaurant increases the reachability of the organization to the global and local customers for takin orders so that return on investment and profitability of the enterprise can be enhanced. Historical analysis of the documents related to the project helps in identifying the time and cost required to complete the given project activities. It helps in minimizing the risks of project failure in completing the project within the projected time and cost.  It is recommended that easy navigation and graphical user interface so that non-trained end users can effectively use the website for booking of their orders.
