INFORMATION TECHNOLOGY IN TRIMFIT

QUESTION
It is proposed that technology needs to be used in TrimFit to optimise the performance of its business operation to reduce the severe problems TrimFit currently experiences. After our team has examined the current system, we discovered that the business was suffering severely due to many problems and hence needed an overhaul.
Many packages and systems were evaluated and critically analysed before we decided on a most appropriate and highly recommended system as a proposed new system. As we were informed, there would be minimal TrimFit staff members directly use and manage the new system. With the business customer size expansion currently and in a near future of the next 3 years (as a system use period that TrimFit requested for), we recommend TrimFit to adopt our new proposed system. The new system would be developed by using Java programming and Microsoft Office Access database. Further investigation has also suggested an integration of online TrimFit website and the bar code system which would generate and capture member activities in visits. The data from the bar code system and website would be transferred and used in the new proposed system. The payment system would also be integrated into the new proposed system as a major improvement to the entire system.
This provides the staff and members with some effective means to actively work on the computers. The new system will improve member details recording, membership details tracking, class offerings, etc. All data will all be handled well to provide for effective business operations in the new proposed system. Apparently, the best course of actions as proposed here are to implement our new proposed system. The new system is highly recommended and strongly advised to be implemented as it will bring along all sorts of business improvements and business benefits to TrimFit.

INTRODUCTION

TrimFit has requested for our expertise and assistance in producing a feasibility report about a new system which will result in an information technology and business performance upgrade. Currently, TrimFit operates with a paper-based system using simple manual procedure such as the use of file cards for recording member details and  physical member sign-in sheet for tracking member activities. The current system experiences various service deficiencies such as members with expired membership could deceivingly visit TrimFit. There are great difficulties for employees who are expected to be the trainers for the members to check whether the visited members are attending TrimFit during their valid membership periods. While the business seemed to have expanded, TrimFit is suffering from a deficient paper-based system.  TrimFit have not been able to use the recorded data to make better business decisions, monitor customer behaviours, forecast the business, etc. For example, TrimFit could offer various promotional benefits at the time of membership renewal to retain more existing members but simply does not have ready data in hands to decide and act. In addition, to have the current system totally overhauled will not only allow a well manage data processing but also allow better management control of the business.

If our new proposed system with so many constructive changes discussed in this feasibility report is endorsed and accepted by TrimFit, it will allow all its members to enjoy the business services of TrimFit in many new optimised ways. TrimFit will also benefits from proper information recording, timely information retrieval, accurate and complete information that aids decision making and being able to set up management strategies, etc. The overall streamlining of the new proposed system is strongly desired. It is greatly anticipated that it will bring to TrimFit numerous benefits and increase business profitability. The new proposed system will be a key business success factor.

CURRENT SYSTEM SUMMARY – DEFFICIENCIES
TrimFit’s current System which is paper-based has many deficiencies like Tracking of usage is not
proper. This results in loss of income because many members keep on visiting TRimFit even if their
membership has expired. Since there is no way to check whether the visitor is currently member of
Trim Fit or not until the employee manually checks the file card for each member who signs in.
Moreover TrimFit does not have many employees who can devotedly manually check each and every
visiting members file card. The owner wants the employees to be on the floor taking classes and
training the members and not to waste their time in doing paper work.
Thus tracking the membership of the visitors is the main deficiency which TrimFit is facing right now
with the current system. The current system is unable to track the gym usage as well as unable to keep
track of the visiting members.
NEW SYSTEM SUMMARY–SYSTEM SCOPE
the new system which will be developed by Technological Solutions and Consultancy Pvt. Ltd. Would is
efficient enough to let TrimFit use the important time related information in the business operations.
The main objective of this project is to develop a software which not juts facilitates the data storage
but also helps on maintenance of data and retrieval of data from the database in an ingenious manner.
Scope of New System:
•    Help in finding who the loyal members of Trimfit are.
•    Help in consolidated database which contains all the customer information
•    Information about the money transactions done in the organisation
•     Maintain information about employees and proper allocation of classes.
•    Generation of required reports on time
•     Storage of relevant information in systematic manner
•    Help in finding the most popular classes of Trim Fit
•    Most popular membership schemes which members prefer
•    Help in planning promotional campaigns in future
•    Automation of tracking member visits, member details, class offering, memberships of each
member and finding the employees of Trimfit which are involved actively in enhancing performance of
the organisation.
FIGURE 1: The current system in TrimFit (Remove if appropriate)
Hardware Involved In New System
The hardware involved would be just the four extra systems allotted by the Trim fit owner to develop
the software.
Then once the data will be manually entered and bedded in the software we will need the membership
cards with the bar codes.
We will need bar code scanner for swiping the membership card at the entrance.
This new System will act as perfect Information System architecture because it helps in keeping records
of members and their memberships and facilitates easy communication between members, employees
and the organisation. Moreover the architecture does not require any major changes in eth already
present system, we just need a bar code scanner and need to get membership cards with bar codes
that is why this proves to be the best information architecture for the Trim Fit’s new software system.
Software to be used
The RFID technology used in this software will make it easier for the owner to enter details. This RFID
technology can easily be integrated with both the bar code scanners and eth QuickBooks software
which TrimFit already has.
This system needs just the application development software experts and the new system will be able
to record huge amount of information in the member files. With the help of this software you can very
well create any type of membership and at the same time assign as many memberships to one
member. It also allows easy new member entry with the main member tab.
The owner of TrimFit might want to get a website developed for making the membership online so that
both employees as well as members can access the database, but that plan is in future and it does not
have to do anything with this project.
The system should be Windows based and effectively user-friendly. The system security should also be
well managed so that unauthorised access is not possible. Simple to use master table for recording all
the information should be present.
Number of personnel
The technical people who would be needed would be Project manager, Software Analyst, Project /
software developer, software tester, Trainer and technical communicator.
FEASIBILITY ASSESSMENT
Legal and Contractual Feasibility
The technique of assessing the potential contractual as well as the legal ramifications which will arise
due to the implementation of  proposed new information system are called the legal and contractual
Feasibility basement methods.
The proposed system should be able to qualify and pass through all the related legal and contractual
obligations which are associated with it. The legal counsel of TrimFit should make sure that there
should not be any illegally practices    already existing which correspond to the new system as
concerned with the already existing regulations. For this the organisation can also work in conjunction
with experts of Computer law Association, just to make it confirmed that the analysis which has been
done is strictly implied by the organisation. Thus the main objective is to protect the company and
establishing few remedial steps or procedures just in case the vendor or the contractor is unable to
perform as being promised by him (Suresh babu, 2009).
Thus we need to study and amnlyse  any kind of legal or cointractula issues which are related to the
implementation of new software application at TrimFit which might concern the porject and it
involves :
•    Labour Relations and Regulations
•    Copyright and Patent laws
•    Safety Regulations
•    Antitrust laws (Project Feasibility, n.d.)
Schedule Feasibility
Time has been the most vital factor for any project and it holds the same for this project also. Here the
allotted time for this project feasibility report to reach TrimFit should not be less than 6 weeks. AT the
same time the System Analysis report must reachTrimFit within 11 weeks.
The time schedule is very important in this project also because if the project is delayed or takes more
time in development it will  cost the machine time , increase the project cost and will at the same time
cause delay  in the scheduled development of other systems like the  bar code scanner  and printing
membership cards for the members etc.
Moreover feasibility of the schedule guarantees the likelihood of this project to get completed within
the scheduled time frame. Higher the likelihood of the successful completion of project by the due
date, higher will be the schedule feasibility. The schedule for the project is being set up with the help
of Gantt chart which is attached along with as MS Project Gantt Chart for TrimFit.
Operation Research methods are being used to calculate the schedule feasibility. With the help of
schedule feasibility we can find out the odds for the completion of this project within the expected
date of completion (Shelly and Rosenblatt, 2011)
The procedure which is used to assess the potential or expected time frame for the project is called the
schedule feasibility for the project. It also helps in finding the expected completion date for all the
major activities which are involved for successful completion of project. MS Project is the best software
for scheduling project as it also helps in finding the Critical path and handling any kind of project
changes which are expected (Illia, 2012).Thus the way of  assessing the project completion dates and
the  time frame for the succesful completion of the project taking into consideration the conastraints
attached to the  project by the organstion  for affecting the change in succesful manner is called
schedule feasibility.
BASELINE PROJECT PLAN
A resource or plan at the beginning of project which should be approved or the preconcieved picture of
project which planners think that the project will look like in future is called the BaseLine Plan. It also
covers the time, goal factors and the costing factors of the project, thus the task of making estimates in
a simple and reasonable manner is called making baseline plan. Basically it is the roadmap which leads
a project towards successful completion (Gundlach, 2009).
Baseline Chronology
The baseline plan has number of start and finish dates estimations along with the duration
measurements as there are number of stages in the project, but all are just estimates. These estimates
are helpful in guiding all the tasks and if the chronology of the porject goes haywire from the baseline
the project manhger can ‘red light’ that task and try to fix it.
Baseline Cost Estimates
The Baseline plan also contains the cost estoimates for tasks or each stage as estimated by the porjecvt
manager.Usually the estimates are done way high so that even if cost goes up then too it falls within
the estimated cost for each task (Gundlach, 2009). Inflated basline costs are usually not approved by
the board so planners have to work within the given range which is $25,000 over here given by TrimFit
owner.
Baseline Plan Goals
Specific goals can also be made part of the baseline plan , but they too are associated with their own
specific timelines and cost. More documentation helps in better understanding of project by the team
members and helps in very efficient implementation of the project too. (Gundlach, 2009).
Flow Diagram below depicts  What the Baseline Plan would look like. And how the new system will
help TrimFit to enhance their organisational capability and minimise loss through proper tracking of
members and developing promotional campaigns targetted at the  customers requirements.
Anticipated System Evolution
The system for maintaining and capturing the design for the project is the anticipated system evolution.
This is significant work as it helps in tackling the problem and makes sure that the developed model for
the project is being understood by the user in best possible and easy manner and the project model
can be extended to involve the risk analysis also within the feasibility report of the project. It is usually
done using an effective software tool called PPIS which allows the structure of the argumentation
process to be very explicit and visible in the project system (Monk et al., n.d.).
It helps in developing and designing a number of possible designs after evaluating the advantages and
disadvantages associated with each design. These are developed because many a time’s information’s
are lost when teams shift from one design to another. The PPIS is an effective information
management system which depicts the early stages of project design which will get developed in
future. It helps in collecting and then arranging the information in proper structure which cannot be
done easily using the CASE tools.

Validated Solution
Figure: Anticipated System Evolution using PPIS
There are numerous activities which are involved in assessing the system or project. The anticipated
system evolution is an effective way to get a practical guidance for the project. Here we first
instantiate the method for the project and then assess the business value along with the external
environment and assessing the applications for the project. After assessing these three things related
to the project the results are interpreted to get the final outcome for the project (Monk et al., n.d.).
